Marketing and Business Development Proposal Coordinator

The Marketing and Business Development Proposal Coordinator will be at the heart of our growth efforts, developing compelling proposals, supporting business development initiatives, and ensuring our brand and messaging shine in every opportunity we pursue.

Key Responsibilities:

Proposal Support:

  • Assist in preparing, editing, and formatting proposals, RFP responses, and capabilities presentations.

  • Maintain a library of boilerplate content, case studies, staff bios, and project descriptions.

  • Coordinate inputs from internal teams and subject matter experts to meet proposal deadlines.

  • Track incoming RFPs, proposal deadlines, and submission requirements.

Marketing & Communications:

  • Support development and execution of marketing campaigns, newsletters, and firm announcements.

  • Draft and edit marketing copy for digital channels, including website updates and social media.

  • Assist with tracking marketing metrics and preparing basic reports.

  • Manage firm’s LinkedIn profile including job postings and firm updates.

Event & Collateral Support:

  • Help plan and execute firm-hosted or sponsored events, briefings, and industry conferences.

  • Coordinate production and inventory of print and digital marketing materials (one-pagers, bios, case studies, decks, etc).

Administrative & Organizational Tasks:

  • Maintain marketing and proposal files, calendars, and CRM data.

  • Provide support on special projects and initiatives as needed.

  • Monitor public affairs industry news and competitors’ activities to inform marketing strategy.

Qualifications:

  • Bachelor's degree in Communications, Marketing, Political Science, Public Relations, or related field.

  • 2–5 years of relevant experience (internships and agency experience welcome).

  • Strong writing, editing, and proofreading skills.

  • Highly Proficient in Microsoft Office Suite (Word, PowerPoint, Excel); experience with Adobe Creative Suite and/or Canva is a plus.

  • Familiarity with CRM tools (like Pipedrive) and email marketing platforms preferred.

  • Detail-oriented, deadline-driven, and able to manage multiple projects at once.

  • Interest in politics, policy, and public affairs is a must.
